A: There may be instances when you have FundRaiser Basic on more than one computer in your organization. One computer may have newer or more complete information than another. An example of this might be if you take a laptop computer to a convention or exhibition and sign up new donors while you are there. You will then need to get this new donor information from the laptop to the main computer in your organization.

  1. Run a Query based on the Date Added. This will select just the new records even if they have not donated yet. This will not pick up on new gifts for existing records.
  2. Verify that the list of names is accurate.
  3. Click on the File menu, then click on Export.
  4. Under "Two Files", select all data, including notes & giving history.
  5. Under "What export file format type do you want?" select dBase III format.
  6. Under, "Where do you want the file(s) exported to", click on the button that looks like an open folder. Select the drive letter that contains your storage media, i.e. diskette or zip disk. Click the Save button, then click the Export button. Three files should be exported to your storage media. They are frbnames.dbf, frbnames.dbt and frbgifts.dbf. Exit FundRaiser
  7. Click with the right mouse button on the icon that says, "My Computer" then click on Explore. This opens the Windows Explorer.
  8. Click on the Drive Letter that contains your storage media and navigate to the three exported files.
  9. Rename the files called frbnames.dbf and frbnames.dbt to master.dbf and master.dbt. Rename frbgifts.dbf to gifts.dbf. To rename the files, right click on a file name, trace down and click on Rename, then type the new name. You can close the Windows Explorer when you are finished.
  10. Remove the storage media and insert it into the computer that you want to update.
  11. Open FundRaiser Basic.
  12. From the File Menu, Select Import, then trace across and select FRB (Windows).
  13. Click on the Browse button and select the drive letter for your storage media and click on the OK button. Then click on the Import button.
  14. You should see a confirmation window telling you how many donors and how many gifts were imported.

FundRaiser Basic can only check for duplicate entries as you manually type in a new donor. You will need to check your database for duplicates. Clicking on the Browse button makes this easier to view. Selecting the Sort Order Name radio button, to see the list of names sorted alphabetically based on the donor's last name or the business name. Selecting Spouse will sort by the Spouse's last name. Sorting by address may reveal some individual donors who share the same address. When you discover a duplicate entry, mark that entry by clicking on it, then close the Browse window. On the Main Donor Screen, click on the Delete button to mark the entry for deletion. In FundRaiser Basic, the only way to truly delete entries from your database is to first mark them for deletion, then click on the File menu and select File Maintenance.
