What’s in a Date

Your gift entries in Basic you will have two dates

  • date of entry
  • gift date (or date of donation)

Checking your computer clock

The Date of Entry is automatically taken from the computer clock on the computer when the gift entry is happening. It is therefore important to make sure that your computer clock/calendar is correct so that your gift entry dates are accurate.

Check your computer clock to make sure that it is correct and keeping correct time. If the clock doesn't keep correct time, you can either replace the battery, which is usually a pretty easy thing to do if you can find the right battery, and know where it goes. Another option, which bypasses the need to worry about a battery, is to have the the computer automatically update the clock time.

This can be done in several ways:

1. If you have Windows XP or Vista, you have this capability built-in, and simply need to go to the Date & Time control panel, to the "Internet Time" tab, and tell Windows to automatically synchronize with an internet time server, such as time-a.nist.gov, or another of your choice. From that point on, synchronization will happen on a regular (weekly) basis.

2. If you have an older Windows operating system then you can get 3rd party "freeware" programs, such as "Atomic Sync", which can update each time you start your computer.

3. If you have constant Internet access available (DSL or cable, for instance), you can install one of the many time synchronization programs available on the web.

When printing out your donation report or merging information into correspondence, designating the proper date is important.

The donation report in Basic, when used to check daily deposit amounts, will need to be set to use the Date of Entry as its reference.
That same report, using the Gift Date as reference, is more appropriate when you want to see what has been given during a particular time period. A good example of this is in January, when you want see a report of gifts given the prior year. You may have some gifts on record with a gift date of December that did not get recorded until January. To see a true representation of giving in that year, then, you need to use the Gift Date, and not the date of entry. This will hold true for some fiscal year reporting, as well.

The Urge to Merge

The built-in word processor is used to pull information from the donor and gift records into thank you letters. In Basic, you should use Gift Date. As with reports, you need to be aware of which field of information (with dates, especially) you need to be merged into the letter, and make the proper choice from those offered – be sure to preview any new letters to make sure you get what you intended.

The most important advice when doing your daily routine for thank you letters:

Make certain ALL printing (letters, labels, envelopes) is finished BEFORE you "mark thank you’s done". If you don’t complete all the printing, and you mark the thank you’s as having been done, FundRaiser has no easy way to go back and find those that still need some printing done. You may, of course, build a query of those who had gifts recorded during a certain time period, or who had gifts dated during a certain date range, but it’s not going to be as easy as following the right steps.
